• Volunteer Team Leaders will register their team on-line beginning late June through July (see timeline), providing the estimated number of volunteers who will participate.
  • Each volunteer team will be entered into the drawing to choose projects: teams choose their own projects.  Teams will receive one entry for every 30 volunteers.
  • A member of the Day of Caring committee will draw all entries.  A list will be compiled as names are drawn.  This list will be placed on-line and e-mailed out to team leaders so they know what order they will be called.
  • Shaele Wood, Volunteer Center Director, will call each team in the order they are drawn, beginning mid-August (see timeline).  The team leader will then choose projects for 30 volunteers (e.g. they may choose 6 projects requesting 5 volunteers each, or 1 project for 30 volunteers).  If a team has fewer than 30 volunteers, the team leader will select an appropriate project for their team.
  •   If a project requires more than 30 volunteers, a volunteer team may fill that project (e.g. 35 volunteers).  In their next turn, however, the team may choose projects for the 30 allowed, minus the number of volunteers over 30 in their previous pick (e.g. choice #1: 35 volunteers, choice #2: 25 volunteers).
  • In recognition of their service, each member of the Day of Caring committee will be allowed to choose projects for 30 of their volunteers before general project selection.  Their order will also be randomly selected.

Other Information:

  • The Project List will be available on-line, by e-mail and at the United Way office beginning early August (see timeline).  Team leaders should consult with their volunteers, when appropriate, to determine their top project choices.
  • Some teams will receive one call, others may receive many, depending on the number of volunteers participating.
  • If the team leader is not available when Shaele calls, someone else in the office should have the project choices available.  If no one is able to choose projects at the time the call is made, then Shaele will wait one-half hour for a returned phone call before going on to the next call.
  • A team leader may consider entering their cell phone number in the "Alternate Phone" field when registering to avoid missing their opportunity to select projects.
  • An up-to-date remaining project list will be uploaded to the web every 2 hours to help with project selection by informing team leaders which projects have already been selected.
  • If a team is not ready to select a project when Shaele calls, they can call back when they are ready, but Shaele will go on to the next call in the meantime.
  • An email will be sent at the end of each business day to announce when project selection will resume the following day and who will be called.
